What This Policy Covers

This policy explains how HostClaim stores, retains, and deletes photos and claim documents you upload. It applies to all plans and all users.

How Long We Keep Your Photos

Retention depends on the status of the claim associated with your booking.

  • No claim filed: photos are kept for 13 months from the date they were captured.
  • Claim active (draft, open, or submitted): photos are kept indefinitely until the claim reaches a final status.
  • Claim approved or resolved: photos are kept for 1 year from the date the claim was resolved.
  • Claim denied or disputed: photos are kept for 3 years from the guest checkout date.
  • If required date information is unavailable, photos are retained indefinitely until the information can be confirmed.

Before We Delete Anything

We send a warning email 90 days before any scheduled deletion. That email shows which bookings are affected and gives you the option to download your data before it is removed.

Downloading Your Data

You can request a ZIP download of your photos and PDF claim reports at any time from the My Data section of your account. Downloads are organized by booking. The link expires 48 hours after it is sent.

Photo Quality

Photos are stored as captured by HostClaim — compressed to a maximum of 1600 pixels on the longest side, JPEG format. Original device files are not retained.

Account Status and Retention

Closing or archiving your account does not trigger deletion. Retention rules run per booking and per claim, independent of your account status. Your photos remain available according to the rules above regardless of whether your account is active.

Permanent Deletion

Photos are permanently deleted only when their retention period expires, or when you request permanent account deletion and all retention thresholds have been reached.

Governing Law

This policy is governed by the laws of the State of North Carolina, USA. In the event of any conflict between a translated version and this English version, the English version governs.
